EU General Product Safety Regulation (GPSR)-related data requirements

Find out how to check if you're GPSR-compliant as a Connected Retail partner, and the steps you can take to make sure that you are.

The EU General Product Safety Regulation 2023/988 (GPSR) comes into effect on December 13, 2024. Zalando’s responsibility as a platform is to enable you to submit the required product safety information which will be displayed on the product detail page (PDP). 

To be compliant as per the EU General Product Safety Regulation 2023/988 and ensure product due diligence on Zalando, you are obliged to meet the GPSR requirements for attributes on brand and article level. This is to outline your responsibilities to enable the initial product onboarding, ongoing article master data management, and product due diligence at Zalando. 

You are required to submit the following applicable product information:

  • Details about the product manufacturer

  • Importer

  • Responsible person

  • Authorised representative

  • Unique product identifiers (model/type code and EAN/GTIN)

  • Any warnings and safety information, and instructions in PDF (if applicable in  languages of agreed sales markets)

Starting December 13, 2024, you are required to provide the following data points on partner/brand level as well as article level. Please check the full list of GPSR data requirements.

Partner/brand-level data

This relates to details regarding:

  • Product manufacturer 

  • Importer

  • Responsible person and 

  • Legal entity

The information will automatically apply to all live articles, both existing and new and will be displayed to customers on Zalando (rows 2-7 in the GPSR data requirements list). 

How to submit partner/brand-level data

Starting December 13, 2024, you will be able to add or update partner/brand contacts per brand via zDirect. We will notify you once the feature has been released. 

Step-by-step process:

1. Log in to CRMT, select zDirect and go to the Business profile.

2. Click on the section Compliance details page.

3. Add a partner email address in the section Product safety contacts

This email address will be visible to customers on the Zalando website so that they can reach out to your company directly in case of safety questions.

a) Use case 1: The manufacturer is from the European Economic Area (EEA): Add manufacturer details for all your brands by completing the visible fields. If several brands have the same manufacturer contact, you can also select more than one brand from the dropdown menu Brands.

Ensure you have added manufacturer contact information for all your brands. If any are missing, the system will inform you that you also need to add the missing information for the other brands.

b) Use case 2: The manufacturer is from outside of the European Economic Area (EEA): 

After adding the manufacturer contact information as described above you need to add as well the European Economic Area (EEA) responsible person who represents the manufacturer within the EEA. This could be:

  • Responsible person: who takes responsibility for the tasks related to this manufacturer within EEA

  • Authorised representative: who has a written mandate from this manufacturer to represent them in the EEA

  • Importer: who imports the articles into the EEA

5. Review your input and click Save & continue if everything is correct to submit the data.

Article-level data

This relates to details regarding:

  • Unique product identifier: Type/Model number If applicable: 

  • Warnings and safety information: Possible for all article categories, but is particularly expected for the categories toys, electronics, and personal protective equipment.

Important

If you are selling the article in multiple sales markets, you need to submit the information for each relevant market in the appropriate language using the new attribute gpsr_warnings.

We recommend indicating the language of each statement by using the two-letter code specified in the ISO 639-1 standard, e.g. EN for English, FR for French, but providing the statements without the language code is also possible.

Please use the following examples as guidance on how best to structure the information:

  • Instruction manuals (to be submitted in PDF format): For products like lighting household devices and similar electronics, floating leisure articles for use in or on the water, medical electrical tools, beauty products (cosmetics and non-cosmetics), toys, and furniture. 

  • Energy label (in PDF format) and energy class: For products like household devices and lighting (like refrigerators, television), light bulbs and lamps. 

  • Product/article information sheet (in PDF format): For products like household devices and lighting. 

  • UPF rating: For products made of fabrics with UV radiation protection. 

  • Filter type, lens type and filter/tint category: For sunglasses and eye and face production for sport use

Please note

We are in the process of optimising our PDP to incorporate GPSR data points. Please be advised that there may be a brief delay in the simultaneous display of all information as we work to ensure its accuracy and completeness, with full implementation expected by early 2025.

This information will be displayed to customers on Zalando (rows 8-17 in the GPSR data requirement list). 

Additionally, please also submit technical documentation. This relates to details regarding:

  • Product description

  • Product and packaging artwork

  • Product risk assessment (in PDF format)

  • Bill of material/parts list  (in PDF format)

  • Test reports (in PDF format)

If applicable: 

  • EU declaration of conformity (in PDF format)

The technical attributes are for internal purposes. This information will not be displayed to customers on Zalando (rows 18-23 in the GPSR data requirement list). 

How to submit article-level data

For articles going live on or after December 13, 2024, GPSR attributes should be included (e.g. definitions, PDP visibility, files, etc.) in the standard article onboarding process to enhance product compliance and transparency. 

You can submit the GPSR article-level data in Article listing within the Articles tab, following the steps below:

1. Create an article as usual.

2. On your left, click on Article or Article Variant to find the new Safety compliance section to input the GPSR data.

Please note

For articles that went live before December 13, 2024, article-level attributes will not and cannot be updated retroactively by you or our Partner Care team. Please refrain from submitting update requests for article-level attributes if the article was onboarded before December 13, 2024.

How to update live articles

Should you want to update or add GPSR article-level data for articles that went live on or after December 13, 2024, the Partner Care team will be able to assist you via the support form and select the request type Content update. Please choose the appropriate template for the attribute you wish to update and its required submission format:

  • For updates related to attributes requiring PDF links, such as energy_label, product_information_sheet, instruction_manual, please use the PDF Files Update template to submit your request. Please follow the instructions in the template for file naming etc.

  • For all other GPSR attributes, please use the general Attribute Update template.Please follow the instructions in the template.
