EU General Product Safety Regulation (GPSR)-related data requirements

GPSR-related data requirements
The EU General Product Safety Regulation 2023/988 (GPSR) came into effect on 13 December 2024. Zalando’s responsibility as a platform is to enable you to submit the required product safety information which will be displayed on the product detail page (PDP).
To be compliant with EU General Product Safety Regulation 2023/988 and to ensure product due diligence on Zalando, you are obliged to meet the GPSR requirements for attributes on both brand and article level.
In this article, we outline your responsibilities in the initial article onboarding, ongoing article master data management and product due diligence at Zalando.
You are required to submit the following applicable product information:
Details about the product manufacturer
Importer
Responsible person
Authorised representative
Unique product identifiers (model/type code and EAN/GTIN)
Any warnings and safety information, and instructions in PDF (first in English and then in the languages of the additional markets separately)
Since 13 December 2024, you have been required to provide the following data points on partner/brand level as well as article level. Please check the full list of GPSR data requirements in Downloads.
Partner/brand-level data
This relates to details regarding:
Product manufacturer
Importer
Responsible person and
Legal entity
The information will automatically apply to all live articles, both existing and new and will be displayed to customers on Zalando (rows 2-7 in the GPSR data requirements list available to download).
How to submit partner/brand-level data
Since 13 December 2024, you have been able to add or update partner/brand contacts per brand via zDirect.
Step-by-step process:
1. Log in to zDirect and navigate to the Business profile.
2. Click on the section Compliance details page.
3. Add a partner email address in the section Product safety contacts.
Important
Please be aware that this email address will be visible to customers on the Zalando website so that they can reach out to your company directly in case of questions about the product’s safety.
4. Add manufacturer details.
The manufacturer is the person or legal entity named on the product label that is responsible for manufacturing or designing the product. This term does not refer to the factory where the product is made; it specifically refers to the brand.
a) Use case 1: The manufacturer is from the European Economic Area (EEA)
Add manufacturer details for all your brands by completing the visible fields.
If several brands have the same manufacturer contact, you can also select more than one brand from the dropdown menu Brands.
If you sell brands with multiple manufacturers, you'll need to submit the data for each one individually. Here's how to do it:
1. Provide the data for the first manufacturer of the brand.
2. Click the Add button.
3. Wait for the confirmation of your data submission.
4. Enter the data for the next manufacturer.
Ensure you have added manufacturer contact information for all your brands. If any are missing, the system will inform you that you also need to add the missing information for the other brands.

b) Use case 2: The manufacturer is from outside of the European Economic Area (EEA):
After adding the manufacturer contact information as described above, you also need to add the European Economic Area (EEA) responsible person who represents the manufacturer within the EEA. This could be the:
Responsible person: Takes responsibility for the tasks related to this manufacturer within EEA
Authorised representative: Has a written mandate from this manufacturer to represent them in the EEA
Importer: Imports the articles into the EEA

5. Review your input and click Save & continue if everything is correct to submit the data.

Article-level data
This relates to details regarding:
Unique product identifier: Type/Model number If applicable:
Warnings and safety information:
Possible for all article categories, but is strongly expected for the product categories toys, electronics, and personal protective equipment.
Warnings in the PDP should match completely with the warnings on the physical product, its packaging or accompanying documentation.
Examples of such warnings include:
Sunglasses: Not for direct observation of the sun or for viewing of solar eclipses.
Toys: Not suitable for children under 36 months; not suitable for children under three years.
Cosmetics: May cause a reaction.
The warning attribute label for sourcing the information is called warning_productsafety.
Important
You must submit the information only in English. If you are selling the article in multiple markets, please submit any additional languages to Partner Care.
To submit additional languages:
Fill in the Attribute Update template available in Downloads. Go to the support form. Select the request type Content update. Attach the completed Attribute Update template. Please follow the instructions in the template.
Instruction manuals (to be submitted in PDF format): For products like lighting household devices and similar electronics, floating leisure articles for use in or on the water, medical electrical tools, beauty products (cosmetics and non-cosmetics), toys, and furniture.
Energy label (in PDF format) and energy class: For products like household devices and lighting (like refrigerators, television), light bulbs and lamps.
Product/article information sheet (in PDF format): For products like household devices and lighting.
UPF rating: For products made of fabrics with UV radiation protection.
Filter type and lens type: For sunglasses and eye and face production for sports.
Examples of such information include:
Filter type: UV protection filter
Lens type: Polycarbonate lenses
The lens type and filter type attribute labels for sourcing the information are lens_type_productsafety and filter_type_productsafety.

You must submit the information only in English. If you are selling the article in multiple markets, please submit any additional languages to Partner Care.
To submit additional languages:
Fill in the Attribute Update template available in Downloads. Go to the support form. Select the request type Content update. Attach the completed Attribute Update template. Please follow the instructions in the template.
This information will be displayed to customers on Zalando (rows 8-16 in the GPSR data requirement list in Downloads).
Additionally, please also submit technical documentation. This relates to details regarding:
Product description
Product and packaging artwork
Product risk assessment (in PDF format)
Bill of material/parts list (in PDF format)
Test reports (in PDF format)
If applicable:
EU declaration of conformity (in PDF format)
The technical attributes are for internal purposes. This information will not be displayed to customers on Zalando (rows 18-23 in the GPSR data requirement list in Downloads).
How to submit article-level data
Since 13 December 2024, GPSR attributes should be included for any articles being onboarded (e.g. definitions, PDP visibility, files, etc.) in the standard article onboarding process to enhance product compliance and transparency.
You have three options to submit the GPSR article-level data.
Option 1: Direct data upload in zDirect
If you are directly integrated, you can submit the GPSR article-level data in Article listing within the Articles tab, following the steps below:
1. Create an article as usual.

2. On the left, click on Article or Article variant to find the new Safety compliance section to input the GPSR data.

Please refer to the GPSR data requirements list in Downloads for more details about the new attributes and their requirements. Please note that you need to provide links for file-based GPSR attributes.
Option 2: Product Submission API
This method is for partners working with an integrator. You can include article-level GPSR data as part of the standard onboarding process. Please consult your integrator to ensure readiness for submission.
Please note that partner/brand-level data will not be available in the Product Submission API, only article-level data.
Option 3: XML feed
This method is for partners working with an integrator. Zalando has been working closely with integrators to communicate the GPSR requirements and support their readiness. If in doubt, please reach out to your respective integrator about their readiness level and the feasible timeline to upload the data. Please note that partner/brand-level data will not be available in the XML feed, only article-level data.
Please note
For articles that went live before December 13, 2024, article-level attributes will not and cannot be updated retroactively by you or our Partner Care team. Please refrain from submitting update requests for article-level attributes if the article was onboarded before December 13, 2024.
How to update live articles
Should you want to update or add GPSR article-level data for articles that went live after December 13, 2024, the Partner Care team will be able to assist you via the support form. Select the request type Content update. Please choose the appropriate template for the attribute you wish to update and its required submission format:
For updates related to attributes requiring PDF links, such as energy_label, product_information_sheet, instruction_manual, please use the PDF Files Update template to submit your request. Please follow the instructions in the template for file naming etc.
For all other GPSR attributes, please use the general Attribute Update template. Please follow the instructions in the template.
